2. Information we collect
Depending on how you use the website, we may collect:
- your name, job title, organisation, work email address and telephone number;
- details of the property portfolio, monitoring requirement or business issue you describe;
- communications, meeting notes and records of follow-up;
- technical and security information such as IP address, browser type, timestamps, request logs and anti-abuse results;
- cookie or local-storage information described in our cookie notice;
- information you provide when requesting a resource, quotation, pilot or demonstration.
We do not ask for tenant names, medical details or other sensitive personal information through the public contact form. Please do not submit it.

4. Where information comes from
Most information comes directly from you. We may also receive business contact information from your employer, a colleague, a referral partner, an event organiser or publicly available professional sources where it is reasonable and lawful to do so.
5. Who we share information with
We may use carefully selected suppliers for website hosting, email, customer relationship management, security, communications, document storage, professional advice and anti-abuse services. They may process information only for the agreed purpose and under appropriate contractual safeguards.
We may also disclose information where required by law, to regulators or law-enforcement bodies, in connection with a corporate transaction, or where necessary to protect legal rights and security. We do not sell personal information.
6. International transfers
Some service providers may process information outside the United Kingdom. Where this happens, we use an approved transfer mechanism where required, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses, together with appropriate risk assessment and safeguards.
7. How long we keep information
- General enquiries not progressed: normally up to 18 months after the last meaningful contact.
- Sales opportunities and quotations: normally up to 3 years after closure, unless a longer period is justified.
- Customer and supplier records: for the relationship and ordinarily 6 years afterwards for contractual, tax and legal purposes.
- Website security and rate-limit logs: normally up to 12 months, unless required for an investigation.
- Suppression records: limited information may be retained to respect an objection or opt-out.
We may keep information longer where required by law, litigation hold, fraud prevention or an active dispute. We securely delete or anonymise information when it is no longer needed.
8. Security
We use proportionate organisational and technical controls, including access control, secure configuration, encrypted transport, logging, anti-abuse controls, backups and supplier review. No internet service can be guaranteed completely secure, but we work to reduce foreseeable risk and respond to incidents.
9. Automated decisions
We do not use website enquiry information to make solely automated decisions that produce legal or similarly significant effects. HiveCheck itself is positioned as decision-support evidence: it does not use generative AI to determine hazards or legal compliance, and property monitoring outputs do not replace inspection or professional judgement.
10. Children
This business website is not directed at children. Do not submit information about a child through the public contact form. Customer deployments involving occupied homes require separate governance, privacy information and contractual controls.
11. Your rights
Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, portability, or object to certain processing. Where processing is based on consent, you may withdraw consent at any time. These rights are subject to legal conditions and exemptions.

12. Complaints

We may update this notice when our services, suppliers or legal obligations change. The date at the top shows the latest revision. Material changes will be highlighted where appropriate.
